Maintenance Planning & Technical System Lead
Reports to: Engineering Manager

Position Scope: The primary role of the Maintenance Planning & Technical System Lead is to boost workforce productivity and work quality by forecasting and eliminating potential delays through the organization and alignment of labor, parts and material, tools and equipment, permissions, specialized documentation, and equipment access.

The Lead is accountable for the formulation and programming of all maintenance work performed. He/she facilitates communication and integration between the production and maintenance departments, preserves appropriate records and files to enable meaningful analysis, and discloses results of work completed.

Responsibilities and Duties
In the execution of his/her duties, the Maintenance Planning & Technical System Lead:

Oversees long-range as well as short-range maintenance work order arrangements. Regularly evaluates backlog work orders for preparation and sequencing.

Confirms that work requested is legitimate and essential.

Thoroughly grasps how to fully leverage the computerized maintenance management system (CMMS).

Consults with engineering regarding those work orders necessitating engineering design.

Inspects jobs to be done and evaluates scope and the optimal method to complete the work.

Retrieves blueprints, drawings, instructional manuals, and special procedures, as required, from files or other sources. Constructs any additional sketches or diagrams necessary to elucidate the intent of the work order.

Pinpoints and procures determinable materials, recording material needs on the work order.

Guarantees that safety needs are accorded top priority in work organization.

Upholds a ready backlog of work orders awaiting scheduling in accordance with their urgency and requested completion date.

Once a job is mapped and appraised, prior to scheduling, validates the availability of parts, materials, and special tools needed for its execution.

Constructs a maintenance work schedule for the plant (Utility, Facility, Processes).

Formulates the working schedule, manages overtime and time attendance.

Generates KPI dashboards (Engineering KPI and EMS) and reporting standards.

Joins meetings with the DOR and engages in the overall plant scheduling of the following week's work, and arranges for asset/line downtime "windows."

Proposes equipment to be incorporated in preventive maintenance programs.

Timetables preventive maintenance and other planned work in conjunction with production and maintenance supervisors.

Advocates for the conservation of energy.

Builds a file of standard work orders (plans) for regularly recurring repair jobs, based on historical experience, to streamline the planning process.

Assesses the actual labor utilized versus estimated labor and material consumed for completed jobs.

Job estimates are continually polished and thereby demonstrate improving accuracy and consistency.

Supports maintenance and production management in periodically examining costs and, where necessary, advises on corrective action vital to curtail maintenance costs.

Notifies the Engineering manager properly on all abnormal or critical situations and requests guidance on matters outside of the planner's expertise or authority.

Secures necessary records and files and composes and circulates meaningful and accurate control reports.

Creates and updates planner reference systems (library) including a file of Planned Job Packages for recurring jobs, plus labor and material libraries for each equipment center.

Engineering Systemization: Audits and uniforms SOPs, maintenance instructions, and documentation control processes.

Tracks maintenance KPIs such as:

  • EPL, OPL, PS, PM…
  • Planned vs. unplanned maintenance ratio
  • PM compliance
  • Maintenance cost vs. budget
  • Tagging
  • Energy Management System Indicators
  • Detects gaps and directs corrective action plans.
  • Performs audits to assure maintenance compliance and maturity.

Operational Excellence (OE) Coordination: Commands TPM (Total Productive Maintenance) initiatives including: Autonomous Maintenance (AM), Preventive Maintenance (PM), Synchronizes technician training and competency development (Competency Matrix & Training Plans).

Suggests additions to technical store stock.

Internal Audit Coordination:

Ensures maintenance activities satisfy safety, quality, and regulatory requirements.

Supervises risk assessments (JSA, FMEA as applicable).

Manages internal audit coordination to guarantee all required standards are established and sustained related to FSSC22000, Halal, Kosher, SMETA (SHE).

Measurement of Position Performance
The planner/scheduler is judged in the fulfillment of his/her duties and carrying out of assigned responsibilities by:

Orderly arrangement of work orders on the schedule(s).

Expanding labor utilization due to refining labor estimates and weekly work order schedules.

Enhancement in mean time between equipment failures.

The accuracy of projections for labor and material.

The augmented use of labor and boosted plant condition as indicated by a diminution in emergencies, overtime hours worked, unscheduled labor worked, and minimization of contractor support.

The punctual and precise drafting and distribution of meaningful control reports.

Position Goals
To assure that production areas obtain prompt, efficient, and quality service from the maintenance function.

To accurately stipulate and calculate work requests.

To properly author and issue meaningful control reports.

To fulfill the needs of customers, both internally and externally.

Job Requirement

  • 5 years of plant maintenance planning experience.

  • Proficient with SAP system.

  • Mechanical/electrical/System engineering background obligatory; technical school background preferred.

  • Sufficient craft knowledge to project labor hours and materials and to envision the job to be executed.

  • Capable of interpreting required drawings and publications.

  • Capacity to visually detect defective parts.

  • Must possess strong problem-solving skills and the aptitude to work efficiently under stressful situations.

  • Strong oral/written communication skills and exhibition of tact.

  • Strong administrative and mathematical skills with readiness to manage paperwork.

  • Holds or is able to attain a working knowledge of personal computers in a reasonable training period.

  • Strong planning and organizational skills.

  • Ability to comprehend what represents good instructions.

  • Able to decipher blueprints and shop drawings.

  • Sketching proficiency.

  • Cognizance of the proper use of work orders, priorities, scheduling, etc.

  • Focus and devotion to customer service.
